When to use it

You have been given a task or project and need to show how it will be done, step by step. The AI can break it into phases and activities so you have a plan to discuss with your team and your senior officer.

The prompt

Turn the task or project below into a work plan for a government office in Pakistan.

Task or project: [what has to be done and why]
Final output: [what must exist at the end]
Start date and deadline: [as given, otherwise "not fixed"]
Fixed dates we already know: [meetings, approvals or other dates, if any]
Teams and designations available: [list]

Produce a table with these columns:
1. Phase
2. Activity
3. Responsible (by designation only)
4. Depends on (which earlier activity must finish first)
5. Milestone or output
6. Date or timing

Put activities in a sensible order and show where approvals are needed. Use only the dates given above. Do not invent dates, durations or deadlines. Where a date is not known, write [CHECK] in the date column. If the task description leaves an activity unclear, mark it [UNCLEAR]. After the table, list any assumptions you made in two or three lines. Write in [English / Urdu].

How to fill it in

  • Describe the final output clearly. A plan is easier to build backwards from a clear end point.
  • Give every fixed date you know, such as a committee meeting or a reporting deadline.
  • List designations that are actually available to you, so the plan does not assign work to people you do not have.

Before you use the result

  • Fill in each [CHECK] date with your team. Do not accept timings that nobody has agreed.
  • Check the dependencies. A wrong order can delay the whole plan.
  • Share the plan with each responsible officer before you treat it as final.
