Write to another department for information

Draft a clear email or letter that says what you need from another department, why you need it and by when.

Before you paste anything: replace names, CNIC numbers and other personal details with placeholders and never use classified material. Use only AI tools your department allows.

When to use it

You need information, a comment or coordination from another department or office. You want a short, clear request that the reader can act on without calling you to ask what you mean.

The prompt

Draft an [email / official letter] from one government office in Pakistan to another, asking for information or coordination.

From: [your office and designation]
To: [the other office and designation]
Subject: [short subject]
What we need: [the information or action, as specific as possible]
Why we need it: [the purpose, in one or two sentences]
By when: [date]
Reference, if any: [earlier letter, meeting or file number]
Contact for queries: [designation, office phone or official email]

Write it in [English / Urdu]. Keep it under [150] words. Put the request in the first paragraph. List what is needed as numbered points if there is more than one item. State the deadline clearly. Use a polite, direct tone and no unnecessary formality.

Do not add any reference, deadline, reason or detail that is not listed above. If something needed is missing, write [CHECK].

How to fill it in

  • Be exact about what you need. "Number of posts filled in each district as of [date]" gets a better reply than "staffing details".
  • Give a real reason. Offices reply faster when they see the purpose.
  • Use an official email or office number for queries, not a personal one.

Before you use the result

  • Check the reference number and date if you cite an earlier letter.
  • Make sure the deadline gives the other office a fair amount of time.
  • Confirm that the request goes through the right channel in your department.
