Before you paste anything: replace names, CNIC numbers and other personal details with placeholders and never use classified material. Use only AI tools your department allows.

When to use it

You took notes in a meeting or have a transcript of a recording. Now you need formal minutes that others can sign off.

The prompt

Turn the notes below into formal minutes of a meeting held in a government office in Pakistan.

Meeting: [title], held on [date] at [place]
Chaired by: [designation]
Present: [list by designation]
Notes or transcript:
[Paste. Remove anything personal that does not belong in the minutes]

Write the minutes with:
1. Heading, date, venue, chair and attendance
2. One numbered section per agenda item: a short summary of the discussion and the decision taken
3. A final table of action points with three columns: action, responsible (by designation) and deadline

Record only what the notes say. If a decision or deadline is unclear, write [UNCLEAR] instead of guessing. Use neutral language and do not attribute opinions to named individuals unless the notes do.

How to fill it in

  • Agenda items help. If you have the agenda, paste it before the notes.
  • For a transcript from a recording, tell the AI which speaker is the chair.
  • Check whether your department allows meeting recordings to be uploaded to the tool you are using. Many do not.

Before you use the result

  • Check every decision and deadline against your notes. Minutes are a record and mistakes become official.
  • Resolve each [UNCLEAR] with the chair, not by guessing.
  • Circulate as a draft before finalising, as you would for minutes you wrote yourself.
