Draft a reply to an official letter

Turn the gist of an incoming letter and your decision into a clear, correctly formatted reply.

Last reviewed: . Reviewer: Muhammad Asadullah.

Before you paste anything: replace names, CNIC numbers and other personal details with placeholders and never use classified material. Use only AI tools your department allows.

When to use it

You have received a letter or reference, you know what the answer is and you want a clean first draft of the reply. The prompt asks the AI to keep to your decision and not to add facts of its own.

The prompt

You are helping a government officer in Pakistan draft an official reply.

Incoming letter (summary, with personal details removed):
[Paste or summarise the letter. Use placeholders such as [Applicant] and [Reference No.]]

Our decision or answer:
[State the decision in one or two sentences]

Write a formal reply in English that:
- uses the standard format: reference number, date, subject line, body, signature block
- states the decision in the first paragraph
- gives the reason in plain words
- tells the reader what to do next, if anything
- is no longer than [200] words

Do not add any rule, date, figure or reference that is not given above. If something is missing, write [CHECK] in its place.

How to fill it in

  • Summarise the incoming letter in your own words if it contains anything personal or sensitive.
  • Keep the decision short and exact. The AI will build the reply around it.
  • If your office has its own letter format, paste a blank copy and add: "Follow this format exactly."

Before you use the result

  • Look for every [CHECK] and fill it in from the file.
  • Check every rule or notification the draft mentions. AI can invent references that look real. See hallucination.
  • Put the real names and numbers back in yourself, then sign only what you would have written.
