Group citizen feedback into themes

Sort many complaints, comments or survey answers into themes with counts and example quotes, without identifying anyone.

Before you paste anything: replace names, CNIC numbers and other personal details with placeholders and never use classified material. Use only AI tools your department allows.

When to use it

You have dozens or hundreds of complaints, comments or open survey answers. You need to see the main patterns. This prompt gives you a first grouping that you check before you report it.

The prompt

Group the feedback below, received by a government office in Pakistan, into themes.

What the feedback is about: [service, programme or survey question]
Feedback:
[Paste the comments, one per line. Remove names, CNIC numbers, phone numbers, addresses and other personal details first]

Write in [English / Urdu]:
1. A table of themes with four columns: theme, short description, number of comments and one or two example quotes
2. Themes ordered from most to least common
3. A short list of comments that do not fit any theme
4. Any urgent matters, such as safety concerns or allegations of misconduct, listed separately with [CHECK]

Quote comments word for word and keep quotes short. Replace any detail in a quote that could identify a person, such as a name, place, date or case number, with [REMOVED]. Do not invent comments or themes. Counts must come only from the comments given. If you count a comment under more than one theme, say so. State clearly at the top that the counts are approximate and must be checked.

How to fill it in

  • Remove personal details before pasting, not after. The tool should never see them.
  • Put one comment per line so the AI can count more reliably.
  • For very large sets, paste in batches and combine the results yourself. Long inputs can exceed what the tool can read at once.

Before you use the result

  • Check the counts. AI tools often miscount, so recount at least the main themes by hand or in a spreadsheet before you report any number.
  • Read the example quotes again to make sure no one can be identified from them.
  • Pass urgent matters to the right officer through your normal procedure straight away. Do not wait for the report.
