When to use it

You have minutes, a letter or a set of notes with tasks buried in the text. You want a single table of who must do what by when, so that nothing is missed when you follow up.

The prompt

List every action in the text below in a table.

Type of text: [minutes / letter / notes]
Text:
[Paste the text. Remove personal details that are not needed]

Make a table with four columns: number, action, owner (by designation) and deadline.

Rules:
- Include every action, even small ones. Keep the wording close to the original
- If the owner is not stated or is unclear, write [UNCLEAR] in the owner column
- If no deadline is given, write MISSING. If a deadline is vague, such as "soon" or "next week", copy it and add [UNCLEAR]
- Do not invent owners, deadlines or actions that are not in the text
- After the table, list any sentence you were unsure was an action at all

Write the table in [English / Urdu].

How to fill it in

  • Paste the whole text. Actions are often hidden in the middle of a paragraph.
  • If the text uses initials or short forms for offices, give a key before the text.
  • For several documents, paste them one at a time so that each action stays linked to its source.

Before you use the result

  • Read the original once more and look for actions the table missed.
  • Settle each [UNCLEAR] and MISSING with the chair or the sender before you circulate the table.
  • Make sure every owner is a designation that actually exists in your office.
